About the role 

You would be our first Recruiting Coordinator here at PromptQL. We know a great Recruiting Coordination team is the cornerstone of every great Recruiting team and want this person to set the tone for all RCs that come after you at Hasura. We are searching for a Recruiting Coordinator to join our team on a contract-to-hire basis to partner with the rest of our Recruiting team to provide a world class hiring experience for our hiring managers, interviewers, and most of all, candidates. You will be a subject matter expert in all areas of the interview lifecycle and will use your expertise to influence and drive an optimum interview experience for all partners. You will own scheduling of interviews, partnering with our Recruiting team, hiring managers and others on coordinating interviews, both onsite and virtual, while providing a great candidate experience. You will also be our sole Recruiting Ops professional, working closely with PromptQL's Head of Talent on special projects, which include but aren’t limited to: ATS implementation & enhancements, data analysis, reporting, candidate experience upgrades, creating internal scheduling policies & SLAs, interviewer and hiring manager trainings, and more.   


  • Act as a point of contact for candidates, recruiters and internal partners. Develop strong relationships and champion PromptQLs culture throughout the interview process

  • Coordinate a high volume of complex scheduling requests including phone screens, assessments, presentations, virtual + onsite interviews, and candidate debriefs

  • Partner with the recruiting team to support all functions including communication, scheduling support, training, troubleshooting and process improvement

  • Use our applicant tracking system, Gem, to schedule, organize information and reinforce relevant recruiting processes across the team 

  • Be responsible for candidate travel arrangements and handle expense reimbursements

  • Handle logistics for on-site hub interviews including booking conference rooms, greeting/walking out and providing a tour for candidates

  • Identify bottlenecks in the candidate or interview process, suggest improvements, and create plans for process improvements

  • Drive process improvements and enhance candidate experience, contributing to the continuous evolution of recruitment strategies and team efficiency


Role Requirements 

  • At least 1 year of recruiting coordination experience or equivalent experience

  • Must be able to work from our San Francisco HQ 2-3 days a week 

  • Able to schedule candidate interviews and handle any type of candidate logistics promptly and accurately

  • You can drive and participate in ad hoc process improvement initiatives and other special projects

  • You have a track record keeping data integrity and updating candidate records in the applicant tracking system, Gem 

  • Being passionate about providing an outstanding candidate experience

  • Excellent organizational skills and attention to detail

  • Creative, proactive problem solving capabilities

  • Prior experience with a tier 1 ATS (Gem, Ashby, Greenhouse, Lever), and expertise in Google Suite, Slack, and any project management tool 


This role might not be a good fit for you if

  • You prefer narrowly defined responsibilities and rigid structure over flexibility and ownership

  • You struggle with managing multiple tasks, timelines, and stakeholders simultaneously
    You’re not energized by creating structure from ambiguity or proactively identifying process improvements

  • You’re not passionate about candidate experience or don’t see recruiting coordination as a strategic function

  • You find it difficult to communicate clearly and empathetically across diverse teams and cultures

  • You're not comfortable using recruiting tools, systems, and productivity platforms. Or don’t enjoy learning new ones

  • You like to work for only large companies and all the structure that comes with it

  • You aren’t action oriented or a natural problem solver 

  • You don’t have strong attention to detail 

  • You don’t want to be candidate facing, don’t like being on the phone, and generally want to keep to yourself at work

Location & Travel Requirements 

Must be located in San Francisco Bay Area and willing to work from our HQ at 2nd Street & Folsom in downtown San Francisco 2-3 days per week (Monday, Tuesday, or Wednesday).
